**The short answer:** When you connect an AI assistant to your scholarship platform through MCP, the assistant can see whatever the connected account can see. The safest way to stay compliant is to control that exposure at the source. Collect less PII, move sensitive fields where the AI’s account can’t reach them, connect with a least-privilege account, and query in aggregates and IDs instead of names.

Kaleidoscope does not automatically redact data on its way to an AI assistant. That control sits with your team. This guide gives IT and compliance reviewers a practical way to set it up before anyone connects an assistant to applicant data.

*This guide is general information, not legal advice. Confirm your obligations with your own counsel, especially if FERPA, state privacy laws, or donor agreements apply to your program.*

## What counts as PII in a scholarship application?

Most AI work in a scholarship program is analysis: completion rates, score distributions, missing documents, award totals. Very little of it needs to know who the applicant is. Map every field before you connect anything.

| Data type | Examples | Sensitivity | Does the AI need it? |
| --- | --- | --- | --- |
| Government and financial IDs | SSN, tax returns, bank details, FAFSA or SAI data | Highest | No. Keep it out of reach entirely. |
| Contact details | Name, email, phone, home address | High | Rarely. Use applicant IDs instead. |
| Demographics | Date of birth, gender, race, citizenship, disability | High | Only in aggregate, for equity reporting. |
| Education records | Transcripts, GPA, enrollment, student ID | High (FERPA at schools) | Sometimes, for eligibility. Limit to the fields used. |
| Free-text answers | Essays, hardship statements, short answers | Varies. Applicants often volunteer health or family details. | Only for scoring or analysis, never tied to identity. |
| Program data | Status, scores, stage, award amount, dates | Low | Yes. This is most of the value. |

The goal is simple: the account the AI uses should reach the bottom rows, and as little of the top rows as possible.

## How do you redact PII before connecting AI to scholarship data?

1. **Stop collecting what you don’t use.** Audit every application form. If a field like SSN or date of birth isn’t needed to select or pay a recipient, remove it. Data you never collect can’t be exposed.
2. **Collect sensitive data later, and only from finalists.** Move tax forms, bank details, and ID numbers to a post-award or finalist stage. Most applicants never submit them, which shrinks your exposure.
3. **Separate PII from review content.** Keep identity and contact fields in their own section, apart from essays and scoring questions. That makes it possible to restrict them as a group. Add a line asking applicants not to include names or contact details in essays.
4. **Create a least-privilege account for AI use.** Set up a dedicated user, or a role, that can see program data and review content but not identity, financial, or demographic fields. Connect the AI assistant with that account, not an admin login. \[Confirm: the connection inherits only that user’s access, and which fields roles can hide\]
5. **Use an AI plan with business data terms.** Connect only from an AI workspace your organization controls, with terms that keep your data out of model training, plus admin controls for retention and access. Personal or free accounts shouldn’t touch applicant data.
6. **Log and review.** Name who’s allowed to use the connection, keep that list short, and review the audit log on a set schedule. \[Confirm audit log coverage for AI Integration activity\]

Steps 1 through 3 happen in your forms. Step 4 happens in your user settings. Steps 5 and 6 are policy. You can complete all six before the first connection.

## How should staff ask AI questions without exposing PII?

Even with the right account, the way staff ask questions matters. Put these rules in your AI use policy:

| Instead of | Ask |
| --- | --- |
| “Show me Maria Lopez’s application.” | “Show me application 4471.” |
| “List the applicants who didn’t finish, with emails.” | “How many drafts are unfinished, and which section did they stop on?” |
| “Summarize the hardship essays.” | “What themes come up most in the hardship essays? Don’t include names or identifying details.” |
| “Break down applicants by race and income.” | Run demographic reporting in Kaleidoscope, where it’s already access-controlled. |

Two more habits:

- **Don’t paste data into the chat.** If it’s not reachable through the connection, it shouldn’t be pasted in either. Pasting bypasses every control above.
- **Don’t export AI answers that contain identities.** Treat any answer that names an applicant as a record covered by your data policy.

## What should IT and compliance check before approving an AI connection?

- Every application field is mapped by sensitivity
- Unused PII fields are removed from current forms
- Financial and ID documents are collected only from finalists or recipients
- Identity fields are separated from essays and scoring questions
- A dedicated least-privilege account exists for AI use, and that account can’t see high-sensitivity fields
- The AI workspace is an organization account with business data terms
- A short list of named users is approved to use the connection
- Staff have a written AI use policy that covers query habits and no-paste rules
- Audit log reviews are on the calendar
- Counsel has reviewed the setup against FERPA, state privacy laws, and donor agreements, where they apply

## FAQs *about AI and Applicant Data*

Does Kaleidoscope redact PII before it reaches an AI assistant?

No. The AI Integration returns what the connected account is allowed to see. Redaction happens through what you collect, how you structure your forms, and which account you connect with.

Can the AI assistant see more than the connected user can?

No. The connection follows the permissions of the account used to connect it. \[Confirm\] That’s why a dedicated least-privilege account is the most important control.

Is it compliant to use AI with scholarship applicant data?

It can be, with the right setup. Compliance depends on your obligations, such as FERPA at schools, state privacy laws, and donor agreements. Use the checklist above, and confirm your setup with your own counsel.

Will our applicant data be used to train AI models?

That depends on your AI provider and plan, not on Kaleidoscope. Business and enterprise plans from major providers generally offer terms that exclude your data from training. Check yours before connecting.

How should we handle uploaded documents like transcripts or tax forms?

Treat them as high sensitivity. Collect them only from finalists or recipients, and keep them out of reach of the account used for AI.
